Refund & Cancellation Policy

Welcome to Arcagen. Due to the custom and digital nature of our AI solutions and services, this Refund & Cancellation Policy outlines how payments, cancellations, and refunds are handled.

1. General Policy

All services provided by Arcagen are custom-built, digital, and resource-intensive, meaning work often begins immediately after onboarding.

Because of this, refunds are limited and handled on a case-by-case basis.

2. Refund Eligibility

Eligible for Refund:

  • Duplicate or accidental payments

  • Failure to deliver services as explicitly outlined in the agreed scope

  • Cancellation before any work has begun

Not Eligible for Refund:

  • Services that have already begun or been delivered

  • Completed milestones or partial work

  • Custom-built AI systems, automations, or integrations

  • Change of mind after project initiation

3. Deposits & Upfront Payments

  • All deposits and upfront payments are non-refundable

  • Deposits secure your project slot, resources, and onboarding time

4. Project-Based Services (One-Time Builds)

For fixed-scope projects:

  • Work begins after initial payment is received

  • Once work has started, no refunds will be issued

  • If a project is canceled mid-way:

    • You are responsible for payment of all completed work up to that point

    • Any remaining balance may still be due depending on the agreement

5. Subscription & Retainer Services

For ongoing services (monthly AI management, automation, etc.):

  • You may cancel at any time

  • Cancellation must be submitted before the next billing cycle

  • No partial refunds for unused time within a billing period

  • Services will remain active until the end of the current billing cycle

6. Cancellation Policy

To cancel services, you must:

  • Provide written notice via email to: Support@arcagen.com

Notice Period:

  • Recommended: 14–30 days written notice for active service agreements

Failure to provide notice may result in:

  • Continued billing for the next cycle

  • Forfeiture of payments already made

7. Chargebacks & Disputes

We encourage clients to contact us directly before initiating any chargebacks.

Unauthorized chargebacks may result in:

  • Immediate suspension of services

  • Legal action or collection efforts for recovered fees

8. Exceptional Circumstances

We understand that unique situations may arise.

Refunds outside of this policy may be considered at our sole discretion.
